Contract and supplier performance

Vendor 360

Every contract delivers what it was awarded for.

Vendor 360 is GTech’s contract and supplier performance solution. It manages each contract from award to exit, so the value approved in Invest 360 is the value actually received: obligations tracked, suppliers scored, variations tested, payments released against accepted work and every renewal decided on the record.

Highlights

  • No renewal goes through by default
  • Every payment traced to an accepted deliverable
  • Supplier performance visible to leadership in ECC 360

01The challenge

Value is won at award and lost in delivery.

Once a contract is signed, its obligations, service levels and renewal dates scatter across inboxes and spreadsheets. Payments go out on invoice rather than on accepted work, change requests add cost a little at a time, and renewals roll over because nobody opened the file in time.

The business case that justified the award is rarely checked again. Contract value has to be managed every period of the contract, not only at the moment it is awarded.

02What it does

One record for every contract, from award to exit.

Each contract is handed over from Invest 360 at award, with its obligations, milestones, service levels, guarantees and renewal date.

  • Contract register

Every contract, obligation, milestone, service level, guarantee and renewal date in one record.

  • Obligation tracking

Obligations on both sides, each with an owner and a due date, with automatic reminders and escalation.

  • Supplier performance

Service levels and deliverable acceptance scored each period, with scorecards built from TMO 360 acceptances and service data.

  • Variations and claims

Every change request tested against the original value case before approval, with its cost impact sent to ECC 360.

  • Payments against value

A payment is released only when its milestone is accepted, with penalties and credits calculated automatically.

  • Renewal and exit

Decision windows open well ahead of each renewal, with a renew, renegotiate, re-tender or exit recommendation drawn from performance data.

  • Supplier risk

Concentration, financial and third-party risk flags, shared with GRC 360.

03Why it pays

Contracts that keep the promise of the business case.

  • No silent renewals

Each renewal is decided before its deadline, on the supplier’s record rather than by default.

  • Paid for accepted work

Every payment traces to an accepted deliverable, and penalties and credits are applied without negotiation after the fact.

  • Variations under control

Change requests are tested against the value case, so variations stop eroding it.

  • Suppliers in view

Supplier scorecards and contract risk reach leadership in ECC 360, beside the organization’s other measures.

04Where it fits

Between the award and the ledger.

Invest 360 runs sourcing and tendering, and the ERP or procurement system keeps buying and invoicing. Vendor 360 governs what happens in between, and connects to both.

The procurement or contracts office runs it, contract owners in each business unit use it, and the CFO oversees it.

05What it measures

Measured in value kept, not contracts filed.

  • Value leakage recovered
  • On-time obligations
  • Scorecard coverage
  • Renewals decided before their deadline

06How it starts

Assessed and designed with you, then built, operated and transferred.

  1. Assess

Review the live contracts, their obligations and renewal dates, and where value is leaking today.

  2. Design

Agree the scorecards, the payment rules and the renewal decision rights with procurement and finance.

  3. Operate

Bring priority contracts onto Vendor 360 and run the first scoring periods and renewal decisions.

  4. Transfer

Your team shadows ours, co-operates with us, then runs the contracts office on its own.

07Editions

Three editions on one contract record.

Each edition carries the contract rules and the vocabulary of the organizations it serves.

  • Government

For ministries, authorities and agencies, aligned with government procurement rules.

  • Enterprise

For groups and companies, with corporate contract policies, approval limits and supplier panels.

  • Giga-projects

For multi-year programs at national scale, with many contractors, packages and variations to govern.

Receive the value each contract was awarded for.

A working session reviews how contracts and suppliers are managed in your organization today, and shows how Vendor 360 would run them.
